Office Asssistant-Facility Maintenance
Performs a variety of clerical duties relative to area of assignment; provides secretarial support to assigned departmental personnel; prepares and processes various types of documentation; performs data entry; maintains departmental records and files; and performs other related duties as assigned. Answers, screens, and directs incoming calls; documents and distributes phone messages; provides information, customer service, and/or referrals to the public; responds to general inquiries regarding departmental calendars; schedules/coordinates appointments and meetings; prepares, processes, copies, files, and distributes correspondence and other documentation; gathers and compiles data; prepares and/or generates various types of reports; performs data entry; updates and maintains departmental records, files, and/or databases; conducts a variety of routine accounts payable and/or payroll tasks; assists in ordering departmental supplies and equipment; obtains vendor quotes/bids as required; collects, processes, distributes incoming and outgoing departmental mail; and performs other routine or specialized duties relative to area of assignment as required. High School Diploma or equivalent; AND one year general office experience; or an equivalent combination of education and experience. A typing test must be passed of 35 wpm before an application will be accepted. Knowledge of general office principles, practices, and equipment; standard computer software applications; knowledge of Microsoft Excel would be beneficial; records management principles and standards; basic bookkeeping and accounting principles; and customer service standards and protocol. Establish and maintain cooperative working relationships with other staff, City departments, outside agencies, and the general public. Work is performed in a standard office environment. Subject to sitting for extended periods of time, standing, walking, bending, reaching, climbing step ladders, and lifting of objects up to 10-15 pounds. A valid operator’s license with a good driving record is required.
This is a seasonal position, half-days Monday-Friday
