Co-Sponsorship Fund
What is the CSF?
The Co-Sponsorship Fund (CSF) was created as a source of funding to help registered student organizations and university departments plan and organize campus-wide events. The programs should be available to the entire student body and provide opportunities in areas such as education, social, recreational and personal growth.
Who is the CSF?
The committee consists of the President, Vice President and two chairpersons of the University Center Program Council (UCPC), as well as four students at large, appointed by the Dean of Student Life.The UCPC President is the chairperson of the CSF Committee and the Coordinator for Student Programs and Activities serves as committee advisor.
Who Can Apply?
Any registered student organization or university department may apply for funding from the CSFC.
How Do I Apply?
- Pick up a Co-Sponsorship Information Packet from the Center for Student Involvement (CSI)
- Submit a completed application / event proposal and backwards calendar to the CSI a minimum of six weeks before the planned event date.
- The application will be reviewed at the next CSFC meeting.
- One or two representatives from the student organization or university department will be asked to attend the CSFC meeting to present their proposal to the committee and to answer any questions the committee may have about the proposed event.
- After the meeting, the CSFC will determine if they will co-sponsor the event and if so, the amount of funding which will be given toward the event costs.
- The student organization or university department will be notified of the committee's decision within one week of presenting the proposal to the committee.
- A contract between the CSFC and the student organization or university department will be developed regarding specifics of the event.
Funding
- Events will not be funded retroactively
- Only one request is allowed per event
- All requests should be made a minimum of six weeks before the planned event date
- Financial management will occur through appropriate university channels as administered by the CSI
- All information for purchase requisitions should be submitted to the CSFC advisor a minimum of two weeks before the event date.
Funding Criteria
Only programs available to the entire student body will be funded by the CSF. Programs should provide opportunities in areas such as education, social, recreational and personal growth.
Events that will NOT be funded include:
- Purely social events, unless open to the entire student body
- Political activities purely partisan in nature
- State or national dues
- Scholarship gifts or awards
- Maintenance and operations not specifically related to the approved program
- The purchase of alcholic beverages
- Travel to conferences
Who makes the decision?
- The CSFC will vote on proposals immediately after they have been presented to the committee.
- Proposals shall pass with a simple majority vote.
- In the event of a tie, abstentions will considered a Nay vote.
- A vote may be tabled at the committee's discretion
- Amendments to a proposal may be made and voted on during the meeting
Can I appeal a decision?
The CSFC may decide to fund all, none or part of any event. If a group is denied funding, they will receive a detailed description of why the CSFC denied their request. The organization or department may then contact the CSFC Chairperson to schedule a second meeting to review the event application/proposal. If a group's request is denied again, the proposal may not be resubmitted.
My event is over - now what?
- A complete account of all money spent, along with receipts, must be submitted to the CSFC advisor.
- Co-Sponsorship Funds will not be adjusted for expenses in excess of approved funding.
- Any money spent in excess of the approved amount will be the responsibility of the student organization or university department sponsoring the event.
- An event evaluation must be turned in to the CSFC advisor within one week of the event.
- If an event evaluation is not turned in to the CSFC advisor within one week of the event, the funded group may be denied funding from the CSFC in the future. The student organization or university department would then be required to wait one academic year before they can request funds from the CSFC again.
Helpful Hints
Each person who picks up an application to receive Co-Sponsorship funds will also receive an information packet. Included in the packet are tips for planning a successful program, publicity ideas and a backwards calendar. The backwards calendar will help to outline steps that need to be taken in planning a program and the time specific steps should take place in order to meet deadlines. The packet also includes guidelines on how to make facility reservations, how to properly complete purchase requisitions and how to purchase items using a purchase order. A sample requisition is also included as a resource to requesting groups or departments.
Publicity Tips
Publicity is essential to successful programming. One of the first things to consider when preparing publicity is your target audience. Who are you trying to attract? What are their needs? When and how can you reach them? With this in mind, use your backwards calendar to prepare a publicity plan. A good advertising campaign makes people aware of your event and makes them excited about attending it. Publicity need not be expensive. Low cost publicity can attract people if prepared creatively. Although publicity does not have to be expensive, an appropriate amount of funding, based on the event total, should be allocated towards advertising costs.
