Letterhead Instructions

The design of the new ASU letterhead and envelopes reflecting the new logo and Texas Tech University System affiliation has been completed and approved. Departments can now begin ordering replacement stocks to be used as the university approaches the Sept. 1 transition date.

Please submit your order for both letterhead and envelopes at the same time. Orders should be submitted directly to the Communications and Marketing Office and accompanied by a Publication Request Form signed by the department head. If a vice presidential signature is needed, Communications and Marketing will secure it so as not to flood the vice presidents' offices with routine request forms. As a service to all departments, the Communications and Marketing Office will waive normal setup fees for the redesign of ASU stationery during the transition period.

Departments are encouraged to use color letterhead and envelopes, especially for off campus communications, as part of ASU's branding and marketing effort. Black-and-white options are available in those rare cases where they may work best.

Transition Policy:

Angelo State University has adopted a unified design for all University stationery. The approved design utilizes the letters "ASU" with a stylized ram's head incorporated in the "U." All stationery used for off-campus correspondence should be printed in blue-and-gold as outlined for both letterhead and envelopes in the University's Publication Guidelines available through the Transition website. All stationery and business envelopes must conform in design and format to the authorized specifications. All stationery and business envelopes must be printed at the University Print Shop rather than at other printers or on laser printers. In addition to standard return address information, matching envelopes may also be printed with an ASU account number for billing.

A University office, department or division may list its name, telephone number, fax number, ASU station #, web address (caution on utilizing departmental web addresses as they might change during the website conversion process) and e-mail address on University letterhead, but no person's name or individual e-mail address will be printed on University letterhead or other forms of stationery except for faculty members holding endowed professorships who are authorized to include their name and the designation of the professorship on University stationery. The phrases "Member, Texas Tech University System" and "Equal Opportunity Employer" will be included on all University stationery.

Exceptions to this policy must be authorized by the President in writing.

Only offices, departments, or divisions of the University which are designated on the Organization Chart of the University are authorized to use University stationery. At the discretion of the appropriate administrative officer, units or programs within offices, departments or divisions of the University may be listed on stationery in addition to but not in place of the supervising office, department or division. No exceptions to this policy are permitted unless otherwise authorized in writing by the President's Office. The Angelo State University Faculty Senate, Staff Senate and Student Association have been authorized to print stationery for their respective organizations using special designs approved by the University.

To accommodate internal memoranda as well as fax communications, computer templates will be made available to departments later this summer to adapt to their information so that all materials will have a uniform look about them.

Instructions:

As all letterhead and envelopes will need to be replaced to reflect our new TTUS affiliation, we will need to queue jobs so as not to overwhelm the Print Shop with an unmanageable job this summer. To help make this an orderly process, please follow the following procedures:

1. Departments should submit all of their letterhead and envelopes for replacement at one time.
2. Complete a Publication Request Form (PRF) signed by the department head.
3. Attach to the PRF samples of your current letterhead and envelopes with any changes written on the stationery.
4. Submit the Publication Request Form directly to Communications and Marketing. If a vice presidential signature is needed, Communications and Marketing will secure it.
5. After new stationery has been set up, a proof will be returned to the department head, who will be responsible for proofing.
6. Once the proof has been approved, return it to the Communications and Marketing Office with a signed proof sheet.
7. If changes are required, they will be made and returned to departments for a second review.
8. Once the final review is completed, Communications and Marketing will put the department's stationery on the network drive accessible to the Print Shop and notify the department that the job is ready for printing.
9. The department will then be responsible for completing a Print Shop requisition and submitting it to the Print Shop to complete the job.

Do not wait until the end of summer to submit your order if you have new people coming on board.
